Lean Administration Academy

A decision to implement lean methods and approaches in administration means opting to optimize processes and departments, to focus on the essentials, and to align activities and resources with the needs internal and external customers. The overall aim is to raise added value, performance, and customer satisfaction to a new level.

We designed the lean administration academy to address the specific needs of administrative departments and indirect areas in companies, which share the goal of combining customer satisfaction and the highest levels of efficiency. 
This might include service companies (e.g. health insurance providers, insurance companies, local authorities, and administrative firms) as well as administrative staff in production companies. 
 
The lean administration academy combines concise training on the theoretical basics as well as practical elements and case studies that make the potential of each method visible and tangible for staff at the end of each thematic unit. Participation offers an excellent platform for transferring approaches to individual areas of work while fostering an exchange and discussion among participants.

Contents & Key Learnings

The lean administration academy focuses on processes, transparent process performance, and the optimization of processes based on defined goals as a result of close cooperation between management and employees using CIP methods. 
 
The course introduces terms surrounding value creation, necessary activities, and unnecessary activities, establishing a foundation for goal-oriented optimization measures. With a general overview and an introduction to analytical tools such as work structure analysis and SWOT methods, proven practical opportunities are presented for an initial evaluation of the status quo. This academy course develops these with reference to val-ue stream analysis 4.0, swim lane process analysis, and process mining options. 
 
Exercises are geared toward presenting and analyzing processes using the methods taught before potential optimization is identified and new target processes are modeled. The goal of an organization that is continuously developing and learning becomes tangible and feasible with the introduction of lean elements such as standards and a best-practice approach in conjunction with problem-solving methods. 
 
Additional suggestions for a performance-oriented design of day-to-day work can emerge from procedures and solutions such as 5S both in the office and in network drive structures, kanban office tasks, meeting organization, and physical and virtual kanban boards. 
 
Team cooperation, the motivation of the individual team members, a results-oriented and appreciative style of leadership, and the use of management tools such as office shop floor management, transparent visual management, and Obeya ultimately bring together proven lean elements with aspects of leadership and work culture. 
 
The modular structure of the training makes it possible to tailor individual elements to your needs in a wide range of areas. We provide the lean administration academy service over five days.
